An essential mechanism for the regulation of vocational education and training (VET) is the national standards against which applicants/RTOs are assessed. Prior to the establishment of the national VET regulator, ASQA, the standards that applied to an RTO’s or applicant’s registration were found within the Australian Quality Training Framework (AQTF).

Category A category is a way to group courses and enable simple search functionality. A category can be seen as an industry sector, e.g. Finance. All finance related courses should be listed under this category.
Certificate No. Certificate Number is generated for every AQF certificate issue (Statement of Attainment, Qualification Certificate and Record of Achievement) as a unique identification. Certificate Number does not change when a certificate is being reprinted.
Child program A training program which has another training program as its parent.
Control No. Control Number is generated in the system for every Non Accredited Certificate issue. Admin User can hide the Control No from the Certificate Template in the Template Editor if it is not necessary to be displayed on the certificate print.
Concurrent Users A software license that is based on the number of simultaneous users accessing the program. It typically deals with software running in the server where users connect via the network. This license is used for SCORM eLearning in the TMS.
Course There are 3 types of courses in BluegemEXPLORE®

Certificate Course – A traditional course in which the completion of the course leads to a certification or the completion of single or multiple course units leads to a certification (eLearning courses containing UOCs are classified as Certificate courses).

Short Course – delivered over a short period of time, and does not usually contain any units of competency.

eLearning Short Course – delivered and assessed over the Internet. It is usually used for non-accredited courses such as Inductions and pre-assessments. This course type cannot contain any Units and is designed as to host a standalone courses. If the course contains a single or multiple units of competency, it is classified as a Certificate Course.

A course can be set up according to clusters of units or other arrangements; and can be either a full qualification course or part of qualification course.

Coloured words All the coloured and bold words describe menu titles, names of functions, or actions that will complete after clicking a link or selecting a menu item.

Customer A customer in the TMS may not be a member who has had any training. The client wants to keep a record of (non) training clients
Customisation The process of providing user or client specific features and services that do not exist generically in a product
eLearning Also referred to as “online” is learning that is accomplished in part or entirely online.
Delivery Mode The way in which the course or unit will be taught (e.g. online, face to face).
DNC An acronym for Did Not Complete, used to identify the reason a trainee is marked Not Yet Competent (NYC) against a Unit of Competency or Qualification.
DNS An acronym for Did Not Start, used to identify the reason a trainee is marked Not Yet Competent (NYC) against a Unit of Competency or Qualification.
Duration The length of a course schedule (e.g. 1 year, 2 days).
eLearning content Files which can be presented on the web including, Microsoft office pdf, videos, SCORM modules which can be uploaded in BluegemEXPLORE® LMS

Enrolment An enrolment is when you are putting a trainee onto a course that is listed on the TMS system.

Italic All Italic and Bold words represent action i.e.; to click a link, select a menu item, open a page, display or export content.
Library Files (Image, PDF and Document types) available for use internally (e.g. reports, company logos, manuals) and/or externally (e.g. training images, documents, reference materials).
Location A place where the course is held; a site or a sub area within a site (e.g. Region – WA; Location – Nedlands).
LUI When you are in Year 10 or turn 15 (whichever comes first), your school will register you with the Queensland Studies Authority (QSA) and a learning account will be opened for you.

Your school will give you a Learner Unique Identifier (LUI) – a 10-digit number that the QSA uses to identify you – and a password, so you can access your learning account. Once a learning account is opened for you, all eligible learning will be recorded in your account, as well as where and when the learning took place, and the results you achieve.

Outcome Codes Reporting codes used to define the enrolment/completion status of a trainee/student as required by the Australian Vocational Education and Training Management Information Statistical Standard (AVETMISS).

Schedule A schedule is an instance of a Course and/or Unit, identified by dates when the course or unit will take place.

TMS Training Management System. Also known as SMS (student management system)
TNA Training Needs Analysis is a tool to help people find courses/units to undertake based on pre-defined criteria.
Trainee An individual member in the TMS who has registered and/or has an enrolment record in the TMS.
Trainer A person that delivers training
Training Plan Members Portal:  training records that display enrolments, marks, attendance, certificates, eLearning courses can be launched from the Training Plan
Trainer Portal A web interface that enables trainers to manage student marking and gives access to scheduling activities

Unit

(subjects)

A Unit is a section of a training course focusing on a particular area. Accredited Courses may consist of single or multiple Units of Competency.
UOC Unit of Competency as defined by TGA
Users (admin) Owners, staff,  employees, training manager/lecturer etc. who have been set up with access rights with either no access, view access, modify access 
USI The new initiative, known as the Unique Student Identifier or USI , was to be implemented from 1 January 2014, and will serve as a building block for a range of VET reforms by providing accurate and comprehensive information about students’ training achievements and movements within the VET system. Students, training organisations, employers, and governments will all benefit from the USI in some way.

The USI is a component of the VET Reform Agenda and will assist the continued development of transparency in the VET sector. It will build a consistent, national system for the storage of training information and will assist in quality assurance and future growth.

VSR Victorian Student Registration – required of RTOs in Australian Victoria State for students younger than 25 years of age.
VSN Victorian Student Number –every student under 25 years of age who is studying in Victoria will get a VSN. VSN is a 9-digit student identification number that will be assigned by the Dept of Education and Early Childhood Development to all students in Govt. and non-Govt. schools, and students up to the age of 25 in Vocational Education and Training Institutions. The number, which is unique to each student, will be used as a key identifier on a student’s records, and will remain with the student throughout his or her education, until reaching the age of 25 at which point the student’s VSN will be retired.
